This Privacy Policy explains how Harbor District Roleplay Community ("HDRP," "we," "us," "our") collects, uses, and protects information when you use our website, Discord server, and FiveM game server (collectively, the "Services").

1. Information We Collect

We collect the following categories of information:

• Discord Account Information:When you log in through Discord, we receive your Discord user ID, username, and avatar image. We do not receive or store your Discord password.
• Application Data:When you submit a department or staff application, we collect the information you voluntarily provide, such as your character name, availability, and answers to application questions.
• Login and Security Information:For staff accounts, we log IP addresses and timestamps associated with logins to our staff portal, for security and audit purposes.
• In-Game Identifiers:For moderation and record-keeping purposes, we associate your Discord ID with in-game identifiers (such as your FiveM license and Steam ID) and gameplay statistics such as playtime, provided by our game server infrastructure.
• Purchase Information:We use two separate payment processors depending on what you buy. FiveM in-game content is purchased through Tebex; general Discord perks, merchandise, and downloads are purchased through Stripevia our own storefront. In both cases, we do not receive, process, or store your credit card number or full payment details - that is handled entirely by the respective processor. We retain a record of the transaction (item purchased, amount, and date) for order history purposes.
• Cookies and Session Data:We use session cookies (to keep you logged in) and local storage (to remember preferences like your cookie consent choice and theme setting). These are strictly functional - we do not use third-party advertising or tracking cookies, and we do not sell or share cookie data with anyone.

2. How We Use Your Information

• To operate and maintain the Services, including authenticating your identity and displaying your application, application status, and purchase history.
• To process department and staff applications and communicate decisions to you via Discord direct message.
• To maintain moderation records, including warnings, bans, and blacklist entries, for the purpose of fair and consistent community management.
• To fulfill purchases, including automatically granting associated Discord roles.
• To maintain the security of our staff systems, including detecting unusual login activity.

3. Third-Party Services

We rely on the following third-party services, each of which maintains its own privacy practices:

• Discord:Used for authentication and community communication. See Discord's Privacy Policy at discord.com/privacy.
• Stripe:Used to process payments for general Discord perks, merchandise, and downloads through our own storefront. See Stripe's Privacy Policy at stripe.com/privacy.
• Tebex:Used to process payments for all FiveM in-game content, as required by Cfx.re's Platform License Agreement. See Tebex's Privacy Policy at tebex.io/privacy.
• Nodecraft:Our game server and web hosting provider.

4. Data Retention

We retain application data, moderation records, and purchase history for as long as reasonably necessary to operate the Services, maintain a fair moderation history, and comply with our legal obligations (such as maintaining transaction records for tax and dispute purposes). You may request deletion of your personal data as described in Section 6, though certain moderation records may be retained where necessary for community safety and integrity, even after a deletion request.

5. Data Sharing

We do not sell your personal information. We do not share your information with third parties for their own marketing purposes. Information may be shared with our staff team internally as necessary to operate the Services (for example, reviewing your application or record), and with Stripe or Tebex solely for the purpose of processing a purchase you have initiated with the relevant provider.

6. Your Rights

Depending on your location, you may have some or all of the following rights regarding your personal information:

• Right to know / accesswhat personal information we hold about you;
• Right to correctionof inaccurate personal information;
• Right to deletionof your personal information, subject to the retention exceptions in Section 4;
• Right to data portability - receiving a copy of your data in a portable format;
• Right to object to or restrictcertain processing of your information; and
• Right to non-discriminationfor exercising any of these rights.

We do not sell or share personal information for cross-context behavioral advertising, so there is no "opt-out of sale" to exercise. You can self-serve an export of your application, purchase, and support ticket history at any time from My Data Export, and you can self-serve a deletion request from the Privacy & Your Data section of your Member Portal. For correction requests, or any other rights request, please contact us through our Discord server. We will respond to legitimate requests within a reasonable timeframe.

7. Children's Privacy

The Services are not directed at children under the age required by Discord's own Terms of Service (currently 13, or higher in certain jurisdictions). We do not knowingly collect personal information from children below this age. If we become aware that we have inadvertently collected such information, we will take steps to delete it.

8. Data Security

We take reasonable technical measures to protect your information, including encrypted connections (HTTPS) across our website and secure, database-backed session storage. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be reflected by an updated "Last updated" date at the top of this page. Continued use of the Services after such changes constitutes acceptance of the revised policy.
